Documentation Specialist/ Специалист по документации (to Regulatory department)

Purpose: provide administrative support for Regulatory Affairs team of AbbVie Russia affiliate

Responsibilities:

  • Coordination of finance documents related to the Regulatory department;
  • Control of translations flow;
  • Department administrative activities maintenance:
  • Organization of RA head s and CEE business trips logistics matters (tickets, obtaining visas, etc.);
  • Stationery supplying;
  • Preparation and submission of the Head of Regulatory department and CEE reports in a timely manner;
  • Maintenance of vacation schedule database of Regulatory department;
  • Archiving of regulatory documents in accordance with local SOP;
  • Ensure all state fees, invoices, agreements are signed and paid in a timely manner;
  • Ensure that all Due diligence forms are up to date for all RA vendors;
  • Ensure that all approved docs are scanned and placed on Sharepoint (all archive docs placed in archive folder);
  • Ensure that all original approved docs are placed in safe and put in order;
  • Organize staff members corporate transfer (system of business trips approval, tickets, visas);
  • Organize working places for the Department s staff members;
  • Prepare, translate and mail of documents and correspondence;
  • Prepare payment reports, closing documents and tracking of payments; present reports to the Accounting Department RU and CIS;
  • Vendor management;
  • Manage Regulatory Department documents turnover, registration of income/outcome documentation.

Requirements:

  • Higher professional education;
  • Advanced PC user (Adobe, Windows, ability to work in different electronic systems);
  • English upper-intermediate / intermediate;
  • Attentive to details, responsible and well-organized;
  • Able to work with big volumes of documents and texts;
  • Team-player;
  • Knowledge of documents development and handling methodology;
  • Knowledge of basics of ethics and aesthetics; basics of business communications;
  • Knowledge of basics of management and labor organization.
